Office Assistant, Accounts Payable & Receivables
Position Summary
Stanley is seeking a detail-oriented and motivated Office Assistant – Accounts Payable & Receivable to join our team in Belfast, Maine. This entry-level position plays an important role in supporting the company's financial operations by ensuring the accurate processing of accounts payable and receivable transactions. The ideal candidate is organized, dependable, and capable of working both independently and collaboratively in a fast-paced office environment.
Key Responsibilities
- Process and record accounts payable and accounts receivable transactions accurately and efficiently.
- Review, verify, and reconcile invoices, purchase orders, and payment records.
- Maintain organized financial records and ensure proper documentation of transactions.
- Respond to vendor and customer inquiries regarding invoices, payments, and account balances.
- Assist in resolving billing discrepancies and account issues in a timely manner.
- Prepare reports related to accounts payable, receivable, and other financial activities.
- Support month-end and year-end closing processes.
- Collaborate with internal departments to ensure timely payment collection and accurate financial reporting.
- Monitor account activity and identify discrepancies, errors, or potential concerns.
- Perform general administrative and office support duties as needed.
Qualifications
- High school diploma or equivalent required; associate degree in Accounting, Business, or related field preferred.
- Prior office, bookkeeping, or accounting experience is a plus but not required.
- Basic understanding of accounting principles and financial record keeping.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with accounting software is a plus but not required.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Strong problem-solving and analytical abilities.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
