Summary
The Office Administrator – Accounts Payable is responsible for the overall office management and general reception, and serves as the point of contact for site administrative responsibilities. In addition to core office management duties, this position will be heavily focused on providing accounts payable and invoicing support, with some additional HR-related support when necessary (i.e. payroll or employee onboarding). This position truly serves as a visible, centralized representation of the farm and the company. As such, it is essential that this individual enjoys and values being part of a team environment, with a strong desire to be collaborative and provide excellent customer service to internal and external stakeholders.
This position reports directly to the Export Operations Manager, with occasional support and direction provided by our centralized Accounts Payable team. The position will work closely with all team members at the Pasco farm and packing facility to successfully accomplish core responsibilities of the role.
Responsibilities
- Prioritize customer service and teamwork by helping to create a welcoming, positive environment for both internal and external visitors; this includes greeting visitors, assisting with various daily inquiries, proactive communication with other team members, and helping to maintain a culture that is both positive and productive
- Create and issue all purchase orders, reconcile receipt of items, and ensure invoices are coded and processed to accounts payable for timely vendor payment
- Coordinate related receipts, reconcile expenses, and process all site credit card reconciliations; support all activities related to site credit card accounts for regional locations
- Coordinate Fuelman card processing and reconciliation as well as issue new cards for the Pasco location
- Provide basic IT support for managing shared files, software and hardware updates, virus protection and other technical support needs
- Provide back-up support to the office team with HR related duties such as onboarding new employees, preparing or delivering new hire orientation, or other tasks as needed
- Assist with filing training or other records
- Handle incoming and outgoing mail, packages, and deliveries in a timely and organized manner
- Purchase, inventory, and issue office supplies and safety PPE for the location
- Help facilitate office housekeeping and organization to ensure a presentable and enjoyable environment for all employees and visitors
- All other duties as needed to support a Winning Teamwork environment
Required Qualifications
- Bachelor’s or Associate degree in Accounting, Business or a related field, or 2-5 years of office or administrative experience, preferably in agriculture
- Demonstrated strong work ethic with an ownership mentality, taking pride in doing the job right and contributing to the team’s success
- Strong interpersonal skills and a genuine enjoyment of working with others, including employees, vendors, and other business partners
- Willingness to embrace new responsibilities and help support changing farm needs, projects, and priorities
- Strong problem-solving skills, including the ability to recognize when additional information, clarification, or support is needed to effectively resolve an issue
- Ability to effectively manage and organize workload to meet deadlines in a fast-paced environment
- Flexibility to occasionally adjust work schedule based on seasonal demands of an agricultural operation, which may be outside of standard business hours
Desired Qualifications
- Background in optimizing workflow processes and project management
- Bilingual in Spanish and English is preferred, but not required

Compensation
We are proud to offer a competitive and comprehensive package for our team members. This position is compensated commensurate with experience, with a targeted pay range of $20-$25 per hour.
