We are seeking a detail-oriented Junior Accountant to support sponsored research and grant-funded programs. Position Summary
Under the direction of the Office of Sponsored Research & Programs – Grant Accounting Manager, the Junior Accountant performs a variety of professional accounting functions supporting sponsored research and grant-funded activities. Responsibilities include accounts payable, accounts receivable, grant accounting, bank reconciliations, journal entries, month-end close, and financial reporting. The position ensures compliance with university policies, Generally Accepted Accounting Principles (GAAP), Uniform Guidance (2 CFR Part 200), sponsor requirements, and applicable federal and state regulations.
Position Information:
Employment at Toro Auxiliary Partners is on an at-will basis. It can be terminated by either an employee or Toro Auxiliary Partners at any time with or without cause or advanced notice. Permanent status can neither be obtained nor granted.
This position is full-time, non-exempt, and benefited. Hybrid work schedule with two days remote after successful completion of the probation period.
Compensation: $26.00 to $30.00 per hour, commensurate with qualifications and experience.
Duties and Responsibilities
Accounts Payable
- Process chargeback invoices, stipends/scholarships, reimbursements (including mileage), Payment Requests with invoice, and invoices related to Purchase Orders.
- Process Travel Requests and Travel Expense Claims.
- P-card transactions.
- Weekly EFT/check run.
Accounts Receivable and Cash Receipts
- Maintain proper documentation and process accounts receivable invoice transactions.
- Working with Post Award personnel, enter and apply cash receipts to the appropriate grants.
- Record and maintain proper documentation for all advance payments (unearned revenue).
Bank
- Process deposits including checks and electronic receipts.
- Monitor bank accounts for all incoming ACH and wire transactions and ensure transactions are properly recorded.
- Complete bank reconciliation. Prepare any necessary journal entries, including but not limited to recording credit card fees, bank service charges, returned checks, and void checks.
Revenues and Indirect Costs
- Calculate, review, and enter the monthly grant indirect costs journal entry.
- Calculate, review, and enter the monthly grant gross revenues journal entry.
- Prepare monthly deferred income entries (unearned revenue/liabilities) and reconcile deferred income.
Other Accounting and Month-End Close Activities
- Ensure compliance with FASB GAAP, GASB, OMB, and CSU policies and procedures.
- Prepare and review journal entries including accruals, deferrals, allocations, fixed assets/depreciation, transfers, and adjusting entries.
- Maintain, review, analyze, and reconcile general ledger accounts to ensure accuracy and completeness. Resolve discrepancies.
- Assist with month-end and year-end close. Prepare schedules and perform reconciliations.
- Complete and file quarterly sales and use tax returns with the California Department of Tax and Fees Administration.
- Assist with annual audits by preparing documentation, schedules, and responding to auditor requests.
- Provide guidance to departments regarding proper accounting treatment and process.
- Coordinate/communicate with key personnel at all levels of the university to support proper and timely expenditure of grant funds in compliance with applicable guidelines and budget deadlines.
- Interact with CSUDH personnel and outside parties to resolve questions and concerns.
- Coordinate with principal investigators, procurement, and other staff as necessary to ensure compliance.
Minimum Qualifications
- Bachelor’s degree in accounting or closely related field.
- One (1) year of professional accounting experience preferred. Recent graduates with strong academic performance are encouraged to apply.
- Experience using ERP or accounting software (SAP, QuickBooks, or similar).
- Strong Microsoft Excel skills.
- Excellent analytical, organizational, and communication skills.
- Ability to prioritize multiple deadlines while maintaining accuracy.
- Commitment to providing excellent customer service.
Preferred Qualifications
- Experience with grant or nonprofit accounting.
- Knowledge of Uniform Guidance (2 CFR Part 200).
- Experience working in higher education.
- Familiarity with sponsored research administration.
- Experience with Finance Enterprise or any other accounting software
