Our HRIS & Payroll Analyst is a member of our Human Resources team and will work out of our Headquarters office, located in Minneapolis, MN. The HRIS & Payroll Analyst is responsible for supporting the accurate and compliant processing of payroll in UKG and maintaining the integrity, functionality, and reporting capabilities of the organization’s HR platform. This role will ensure payroll operations, HR systems, and employee data is effectively managed and aligned with organizational and regulatory requirements. Our expectation is that this hybrid role will work in the office 3 days/week.
The salary range is $90,000 - $110,000. The salary may vary within the range based on factors such as location of the role, and a candidate’s experience, knowledge, skills, and abilities.
HRIS & Payroll Analyst Responsibilities:
HRIS Administration, Reporting & Data Integrity
- Maintain and update HRIS data to ensure accuracy, consistency, and compliance.
- Serve as a primary system administrator or key support resource for HRIS, including employee data changes, system updates, and troubleshooting.
- Perform regular audits of HR data to identify and correct discrepancies.
- Support system upgrades, enhancements, testing, and integrations with payroll and benefits platforms.
- Ensure data governance practices are followed, including data privacy and security protocols.
- Generate standard and ad hoc reports related to payroll, headcount, compensation, and HR metrics.
- Support data analysis efforts by providing accurate and timely reporting to HR, Finance, and leadership.
- Assist in maintaining dashboards and reporting tools within HRIS or other platforms.
- Analyzes payroll and workforce data to identify trends or anomalies in payroll, variances, and risks and escalate as appropriate.
Payroll Processing & Administration
- Executes end-to-end biweekly payroll processing on a regular cycle ensuring timely and accurate payment to employees, and in compliance with all applicable laws and company policies.
- Reconciles payroll prior to processing, identify discrepancies, and resolve issues
- Ensures accurate calculation and remittance of taxes, garnishments, and other withholdings.
- Manages off-cycle payrolls, adjustments, and corrections as needed.
- Ensure proper prevailing wage payments in accordance with contract requirements and applicable regulations. Prepare and submit certified payroll reports.
- Partners with Finance on payroll funding, general ledger postings, and account reconciliations.
- Maintain payroll records and ensure documentation is complete and audit-ready.
- Research and resolve payroll discrepancies, employee inquiries, and system-related issues in a timely manner.
- Monitor regulatory changes and ensure payroll processes and systems remain compliant.
- Support year-end payroll activities, including W-2 processing and reconciliation.
- Respond to outside inquiries and requests related to employment and income verifications.
Multi-State Tax Compliance
- Administer and support multi-state payroll processing through third party vendor, including proper application of state and local tax withholding and reporting requirements. Investigates and resolves all discrepancies and registers for tax accounts in new jurisdictions as needed.
- Assist with payroll tax registrations, filings, and remittances across multiple states and jurisdictions.
- Monitor changes in federal, state, and local tax regulations and support updates to payroll processes and system configurations.
- Partner with payroll vendors and Finance to ensure compliance with all tax reporting requirements.
- Support internal and external audits related to payroll and tax compliance.
Additional Responsibilities
- Identify opportunities to improve HRIS and Payroll processes, workflows, and controls.
- Develop and maintain standard operating procedures and documentation for HRIS and Payroll processes.
- Support automation and efficiency initiatives within payroll and HR systems.
- Partner with HR, Finance, and IT to ensure seamless integration of HRIS and Payroll processes.
- Provide support to employees and managers on HRIS and Payroll-related inquiries.
- Assist with implementation of new programs, system changes, and process improvements led by the Total Rewards function.
HRIS & Payroll Analyst Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or related field, or equivalent work experience.
- 5+ years of experience in payroll processing and/or HRIS administration.
- Demonstrated experience processing payroll and utilizing UKG for reporting, data analysis, and payroll administration.
- Certified Payroll Professional (CPP) or similar certification, preferred.
- Experience supporting multi-state payroll and tax compliance.
- Strong working knowledge of payroll regulations, including FLSA and applicable state laws.
- Demonstrated experience and working knowledge of prevailing wage payroll requirements, including accurate calculation of wages, fringe benefits, and compliance with applicable federal, state, or local regulations (e.g., Davis-Bacon and related laws, as applicable).
- Advanced proficiency in Excel and data management.
