HR/Payroll Coordinator

Pay Range: $25.00–$26.44 per hour
Annualized Range: Approximately $52,000–$55,000 based on a 40-hour workweek

Position Summary

The HR/Payroll Coordinator provides administrative and operational support to the Human Resources and Payroll functions. This position assists with payroll processing, employee data changes, timekeeping, payroll inquiries, onboarding, employment records, HR systems, and other employee-related processes.

The HR/Payroll Coordinator serves as a resource for employees and managers and is responsible for ensuring information is entered and maintained accurately and timely. This role requires strong attention to detail, organization, confidentiality, customer service, and the ability to manage multiple priorities and deadlines.

Essential Duties and Responsibilities

• Support the preparation and processing of assigned weekly and/or biweekly payrolls.
• Review timekeeping records for missing punches, incomplete timecards, approvals, and other payroll exceptions and follow up with managers as necessary.
• Prepare and upload payroll-related files and assist with validating information prior to payroll processing.
• Assist with benefit deduction files, commission files, and other payroll-related data.
• Enter and review employee changes, including new hires, terminations, compensation changes, transfers, job changes, and other employment information.
• Respond to employee and manager questions regarding paychecks, timekeeping, direct deposit, deductions, payroll schedules, and other routine HR/payroll matters.
• Research payroll discrepancies and escalate complex issues to the Payroll Specialist or appropriate HR/Payroll leadership.
• Assist with payroll corrections, off-cycle payments, final paychecks, and retroactive adjustments as directed.
• Maintain accurate employee information within the HRIS/payroll system.
• Support employee onboarding, including completion and review of required employment documentation.
• Assist with Form I-9 administration and maintenance of employment eligibility documentation in accordance with Company procedures.
• Maintain employee personnel and payroll records and ensure documentation is appropriately filed and retained.
• Assist employees and managers with HRIS access, password or system questions, and basic navigation of employee self-service functions.
• Prepare routine HR and payroll reports and assist with audits and data validation.
• Monitor HR and payroll tickets, requests, and assigned tasks to ensure timely follow-up and resolution.
• Assist with employment verification and other routine employee information requests in accordance with Company procedures.
• Support Human Resources with employee communications, policy acknowledgments, training assignments, and other administrative processes.
• Maintain strict confidentiality of employee, payroll, compensation, benefits, and Company information.
• Follow established internal controls, payroll procedures, and HR policies.
• Perform other Human Resources and payroll-related duties and projects as assigned.

Qualifications

• More than one year of Human Resources, payroll, administrative, or related experience preferred.
• Previous payroll or timekeeping experience preferred.
• Experience working with an HRIS/payroll system preferred; Paycor experience is a plus.
• Basic understanding of payroll and timekeeping concepts, including hours worked, overtime, deductions, and payroll corrections.
• Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
• Strong attention to detail and ability to work accurately with employee and payroll data.
• Strong organizational and time-management skills.
• Ability to manage multiple priorities and meet established deadlines.
• Strong written and verbal communication skills.
• Customer-service orientation and ability to work effectively with employees and managers at all levels of the organization.
• Ability to maintain confidentiality and appropriately handle sensitive employee information.

Knowledge, Skills and Abilities

The successful candidate must be organized, dependable, detail-oriented, and comfortable working with employee and payroll information. The position requires the ability to follow established procedures, identify discrepancies, research routine issues, and recognize when a matter should be escalated.

The HR/Payroll Coordinator must be able to communicate professionally with employees and managers, manage competing priorities, meet recurring payroll and HR deadlines, and maintain a high level of accuracy and confidentiality.

• Ability to communicate effectively and exchange accurate information with employees, managers, Human Resources, payroll providers, and other business partners in person, by telephone, and electronically.
• Requires visual ability sufficient to review employee records, payroll information, spreadsheets, system screens, and detailed numerical information accurately.
• Ability to occasionally move throughout the office to access files, equipment, meetings, and other work areas.
• Ability to occasionally reach, bend, or stoop to retrieve files, supplies, or materials.
• Ability to occasionally lift, carry, push, or pull office materials, files, or equipment weighing up to 15 pounds.
• Ability to maintain concentration and attention to detail while performing data-entry and administrative tasks for extended periods.
• Ability to work in a deadline-driven environment and adjust work hours when necessary to support payroll processing and other time-sensitive HR responsibilities.
