Summary/Objective: The HR & Payroll Specialist is responsible for accurate and timely payroll administration and provides operational support across key Human Resources functions. This position partners with members of the Human Resources Department to maintain accurate employee and payroll records, support compliance, respond to employee inquiries, and assist with HR projects and audits. Essential Functions:
- Process the Bank’s semi-monthly and special payrolls, including collecting and validating payroll changes, preparing payroll worksheets, entering data into the payroll system, reviewing payroll previews, resolving discrepancies, coordinating the required secondary review and approval process, submitting payroll funding requests, maintaining payroll reports and supporting documentation, and providing required payroll reporting to CFO.
- Maintain accurate payroll and employee records for promotions, transfers, compensation changes, employment status changes, paid time off policies, deductions, and other payroll-related changes.
- Create payroll system profiles for new hires; assign and prorate paid time off, as applicable; provide payroll system account setup instructions; and prepare related new-hire documentation for review and approval.
- Process employee separations in the payroll system; calculate final wages and accrued, unused vacation payments in accordance with applicable law and Bank policy; and coordinate live checks or other payment methods with Financial and Accounting, as needed.
- Partner with ADP Workforce Now to troubleshoot payroll and system issues, coordinate configuration changes, manage payroll tax notices, submit tax amendments when required, and track matters through resolution.
- Prepare 401(k) funding requests, monitor the funding process for timely remittance, and periodically audit employee deferral and loan information.
- Prepare and submit required payroll-related tax, statistical, and regulatory filings and payments for applicable jurisdictions.
- Manage payroll matters including returned payments, payment reissuance, manual check calculations, live checks, payroll memoranda, and other payroll adjustments.
- Audit employee data across HR, payroll, retirement, and other applicable systems to ensure consistency and accuracy.
- Maintain payroll system configuration and annual setup, including payroll calendars, holiday schedules, timekeeping rules, pay and deduction codes, and paid time off configurations.
- Create and distribute reports for authorized internal and external business purposes using ADP Workforce Now and other approved systems.
- Respond to employee inquiries regarding payroll, timekeeping, attendance, and HR policies, escalating matters as appropriate.
- Support HR team members with benefits administration, audits, policy and procedure reviews, recordkeeping, and special projects.
- Maintain the confidentiality and security of employee, payroll, benefits, and other sensitive information.
- Supports recruitment activities, including job postings, interview scheduling, candidate communication.

Travel Requirements: N/A Required Education and Experience: - Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related field, or an equivalent combination of education and relevant experience.
- Three to five years of related payroll and/or human resources experience.
- Experience processing payroll using ADP Workforce Now is preferred.
- Working knowledge of payroll practices, wage and hour requirements, payroll taxes, and payroll recordkeeping is preferred.
