Full-Time Payroll Coordinator

POSITION REQUIREMENTS

• High school diploma or GED is required; an associate or bachelor’s degree in accounting, finance, business administration, human resources, or a related field is preferred.
• Minimum of two (2) years of payroll processing experience is required, preferably in a public-sector, nonprofit, or multi-department organization.
• Experience using Paycor or comparable payroll, timekeeping, accounting, or human resources information systems is preferred.
• Experience with Ohio Public Employees Retirement System reporting or comparable pension reporting is preferred.
• Must possess a valid driver’s license and remain insurable under the Agency’s vehicle liability policy if driving is required for business purposes.
• Successful completion of a pre-employment drug screen and background check is required.
• Regular and reliable attendance is an essential function of the position.
• Must be able to work independently, handle confidential information appropriately, and collaborate effectively with staff across departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Follows all applicable safety procedures, reports hazards or incidents promptly, and supports a safe environment for participants, visitors, volunteers, and staff.
• Processes biweekly payroll accurately and on schedule, including time records, wages, deductions, benefits, overtime, leave, and other applicable payroll adjustments.
• Reviews, enters, verifies, and maintains payroll data in agency’s payroll system.
• Works with supervisors, managers, Human Resources, and employees to resolve timekeeping or payroll questions and ensure accurate payroll records.
• Responds to employee payroll inquiries in a timely, professional, and confidential manner.
• Prepares and reviews payroll reports to support payroll accuracy, accounting reconciliation, compliance reporting, audits, and management review.
• Reconciles payroll deductions, benefit deductions, taxes, and related payroll liabilities for each payroll cycle.
• Coordinates monthly, quarterly, and annual payroll reporting and payments to appropriate agencies, including tax, pension, and other required reporting.
• Calculates and processes final pay, leave payouts, retroactive pay, corrections, and other adjustments in accordance with policy and applicable law.
• Completes Ohio Public Employees Retirement System reporting, including setup, maintenance, and separation-related updates.
• Maintains awareness of applicable federal, state, and local payroll laws, regulations, policies, and reporting requirements.
• Completes year-end payroll processes, reports, reconciliations, and accruals.
• Provides payroll system guidance and support to supervisors and staff as needed.
• Partners with Human Resources to ensure new hires, rehires, status changes, benefit changes, and separations are accurately reflected in the payroll system.
• Maintains confidentiality of employee information, payroll records, and agency business information at all times.
• Performs other related duties as assigned.

SUPERVISORY RESPONSIBILITIES

QUALIFICATION REQUIREMENTS

• Proficient with computers, email, web-based systems, and Microsoft Office applications, particularly Excel.
• Experience using Paycor or comparable payroll, timekeeping, accounting, or human resources information systems is preferred.
• Ability to operate standard office equipment, including a computer, calculator, copier, scanner, telephone, and related equipment.

ADDITIONAL INFORMATION

• Knowledge of payroll administration practices, payroll processing cycles, wage and hour requirements, deductions, taxes, and related reporting.
• Knowledge of payroll recordkeeping requirements, confidentiality standards, and internal control practices.
• Knowledge of general accounting principles related to payroll reconciliation, deductions, liabilities, and reporting.
• Knowledge of pension reporting practices, including OPERS or comparable retirement system reporting, is preferred.

• Ability to research discrepancies, collect and analyze data, identify issues, and recommend appropriate corrections.
• Ability to work independently while collaborating effectively with Human Resources, Finance, supervisors, and employees.
• Ability to learn and apply payroll policies, procedures, software, and regulatory requirements.
• Ability to interact with others with tact, courtesy, professionalism, and discretion.
• Ability to maintain composure, accuracy, and confidentiality while working with deadlines and sensitive information.
