TITLE: Financial Analyst

DEPARTMENT: Finance

REPORTS TO: Controller

TYPE OF EMPLOYMENT: Full-Time, Permanent, 40 hours per week

LOCATION: Nova Scotia. Local travel may be required. Some evening and weekend work may be required.

POSITION SUMMARY

The Financial Analyst is a key member of the Finance team and provides financial and accounting support to the CEO, Controller, Finance Committee, and Board of Directors.

The Financial Analyst supports the effective financial management of Autism Nova Scotia by maintaining accurate financial records, supporting budgeting and forecasting, managing reconciliations, monitoring restricted and unrestricted funds, and contributing to financial reporting, compliance, and audit activities.

The position works collaboratively across the organization, including with Finance, Programs, Fund Development, and Autism Nova Scotia Chapters, to support sound financial practices, accurate reporting, effective resource management, and organizational accountability.

KEY RESPONSIBILITIES

Financial Management and Accounting

• Collaborate with the Controller to maintain effective systems for managing organizational funds and financial information.

• Maintain accurate and comprehensive accounting records and documentation to support financial accountability, compliance, and audit readiness.

• Manage and monitor funds related to daily operations, programs, services, restricted grants, Chapters, projects, fundraising events, major gifts, and donations.

• Ensure appropriate allocation and utilization of financial resources and accurate reporting of deferred revenue.

• Manage and reconcile bank accounts, sub-accounts, Visa accounts, investment accounts, and associated budgets.

• Complete monthly account reconciliations and investigate and resolve discrepancies.

• Review aged payables and receivables and support appropriate follow-up.

• Support Accounts Payable and Accounts Receivable functions and provide guidance to Finance Coordinators on day-to-day bookkeeping activities.

• Follow established procedures for banking, documentation, data entry, receivables, payables, and inventory management.

• Safeguard organizational assets and confidential financial information.

Budgeting, Forecasting and Reporting

• Regularly update organizational and program budgets and provide accurate financial projections to the CEO and Controller.

• Assist with cash flow management and forecasting.

• Prepare monthly and annual financial statements and financial reports for the CEO, Controller, and Board of Directors.

• Analyze financial information, identify significant variances or trends, and provide information to support organizational decision-making and strategic planning.

• Maintain accurate working papers, schedules, spreadsheets, and supporting documentation.

Chapter, Program and Fund Development Support

• Work with Autism Nova Scotia Chapters to support adherence to financial policies and procedures and maintain accurate Chapter financial records.

• Conduct financial reviews and audits of Chapter records as required.

• Work with Program Coordinators to ensure invoices are issued on time and payments are recorded accurately.

• Work with the Finance Clerk to follow up on outstanding payments.

• Collaborate with the Fund Development team to reconcile tax receipts and fundraising revenue associated with events and donations.

• Provide financial information and insights to support fundraising initiatives.

• Communicate with sponsors, staff, volunteers, families, and members of the public regarding payables, receivables, fundraising events, projects, and programs, as required.

Audit, Tax and Compliance

• Work with external auditors to prepare annual financial statements, charitable tax returns, and supporting documentation.

• Prepare HST reports and support the Registered Charity Information Return filing process.

• Maintain year-end working papers and supporting schedules.

• Ensure financial records and practices comply with applicable CRA requirements and organizational policies.

• Support external audits, independent reviews, and other financial compliance activities.

• Stay informed about relevant accounting, tax, and regulatory changes and support the implementation of required changes to financial practices and procedures.

Collaboration and Staff Support

• Provide guidance and mentorship to Finance Coordinators regarding bookkeeping, reconciliations, financial procedures, and internal controls.

• Collaborate with colleagues across departments to support consistent and accurate financial practices.

• Participate in organizational meetings and provide financial information and analysis to support operational and strategic priorities.

• Follow all organizational policies, procedures, and the Code of Conduct, maintaining a high standard of professionalism, confidentiality, and integrity.

EDUCATION AND EXPERIENCE

• Bachelor's degree in Finance, Accounting, or a related field, or an equivalent combination of education and experience.

• Enrollment in a CPA program is preferred.

• Minimum of three years of relevant financial or accounting experience.

• Experience within a nonprofit, charitable, or public-sector environment is considered an asset.

• Strong understanding of month-end closing processes, grant reporting, financial reporting requirements, and nonprofit and charitable accounting practices.

• Experience supporting audits, financial statement preparation, and regulatory reporting.

• Experience with payroll processing is considered an asset.

• Knowledge of Autism Nova Scotia's programs and services and/or autism is considered an asset.

SKILLS AND COMPETENCIES

• Strong knowledge of accounting principles, financial reporting, budgeting, forecasting, and reconciliation processes.

• Strong analytical and problem-solving skills, with the ability to interpret financial data and communicate meaningful information to a variety of audiences.

• Exceptional attention to detail and a high degree of accuracy.

• Strong organizational skills and the ability to manage competing priorities and meet deadlines.

• Excellent written and verbal communication skills.

• Ability to work independently while contributing effectively to a collaborative team environment.

• Ability to identify financial discrepancies, risks, and trends and recommend appropriate action.

• Ability to maintain confidentiality and exercise sound professional judgment when handling sensitive financial information.

• Proficiency with QuickBooks Online, Microsoft Excel, Microsoft Office Suite, and other financial management and reporting systems.

• Strong interpersonal skills and the ability to build effective working relationships with staff, volunteers, leadership, Board members, external partners, and community stakeholders.

• Commitment to ethical financial practices, accountability, accuracy, and professional integrity.
