The Facility Compliance Analyst is responsible for supporting and enforcing effective compliance programs aligned with client, internal, and regulatory requirements across a multi-site facilities portfolio. This role focuses on audit readiness, operational assessments, compliance documentation governance, data accuracy, and technical risk visibility for engineering and critical facilities operations.The position partners closely with facilities, engineering, safety, sustainability, and operations leadership to ensure compliance evidence quality, accurate records management, and consistent execution of compliance-driven initiatives across the portfolio.
Job Description
Facilities Compliance & Audit Support
- Support compliant delivery and records management of engineering services for MEP and mission‑critical assets in commercial office environments.
- Coordinate and respond to client-driven audits, assist with internal audits, track actions to closure, and develop compliance reporting.
- Collect, analyze, and summarize compliance data to identify deficiencies and non‑compliance with standards and policies.
- Support audit readiness activities through documentation reviews and structured evidence validation.
Operational Assessments & Reporting
- Support and/or conduct operational assessments (OA) and compile results into executive-ready reporting packages.
- Distribute assessment deliverables (executive summaries and detailed reports) to internal and client stakeholders.
- Reinforce evidence standards and documentation order expectations to improve review efficiency and consistency.
Documentation Governance & Evidence Management
- Define and communicate required evidence standards for work orders, changes, incidents, and vendor documentation.
- Build and maintain structured trackers, templates, and folder alignment practices to support documentation continuity.
- Improve quality, accuracy, and accessibility of compliance and operational records.
Account-Wide Compliance Initiatives
- Lead or support compliance outreach initiatives requiring structured data capture, deadline management, and stakeholder follow-up.
- Develop written summaries, risk narratives, and recommendations supporting overall compliance posture (e.g., regulatory, environmental, and attestation needs).
Data Accuracy & Systems of Record
- Drive reconciliation of incomplete or conflicting facility records, ensuring data accuracy across systems of record.
- Support portfolio data validation initiatives tied to critical rooms, cooling infrastructure, and technical asset records.
BMS / CBAS / BAS Governance Support
- Identify and document BMS/controls readiness gaps, including alarms, trends, point mapping, commissioning, and connectivity impacts.
- Support CBAS/BAS readiness activities through site evaluations, documented milestones, and readiness artifacts.
- Develop site briefs and action plans for controls-related compliance initiatives.
Incident Readiness & Response Documentation
- Create and maintain outage and incident response tools that support consistent site execution and documentation.
- Support incident readiness guidance aligned with critical facility expectations.
Environmental Compliance Support
- Support environmental compliance data collection efforts, including refrigerant tracking and environmental program coordination.
Technical Scope & Support Writing
- Draft technical scope language supporting vendor execution of electrical or engineering compliance studies, as needed.
Reporting & Organizational Placement
- Role resides within the Chief Administrative Office supporting the client’s Real Estate Services organization.
- Reports to the Operations and Compliance Director.
- Partners with account-based operations, facilities, engineering, safety, project management, and energy & sustainability teams.
Education/Experience/Training
Minimum Education
- High School Diploma, GED, Trade, Technical, or Vocational School required
- Bachelor’s Degree preferred
Work Experience
- 3–5 years of experience in facilities management, compliance, audit readiness, engineering support, or operational governance.
- Experience in property management, commercial real estate maintenance, or facility operations preferred.
Specialized Knowledge & Skills
- Strong understanding of commercial facility systems, operational best practices, and equipment lifecycle expectations.
- Experience supporting compliance documentation workflows and audit readiness.
- Ability to produce executive-ready written deliverables, summaries, and structured reporting.
- Demonstrated ability to coordinate across large, distributed stakeholder groups to meet deadlines.
Systems & Tools
- Facilities and compliance workflows: CMMS, Safety Culture, ServiceNow
- Records & portfolio validation tools
- Environmental tracking systems (e.g., refrigerant tracking platforms)
- Microsoft 365 (Outlook, Teams, SharePoint)
Physical Demands/Environmental Work Conditions
- Travel may be required for routine site visits, operational assessments, and compliance initiatives (up to ~25%, depending on program needs)

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
