Job Summary
The Saint Mary’s Cathedral Daily Bread Outreach Ministry is seeking a compassionate, organized, and community‑minded individual to serve as the Coordinator of Procurement & Partnerships. This part‑time, term‑based role is responsible for overseeing procurement of food and essential supplies, building and maintaining strong partnerships with community agencies, and supporting outreach operations in alignment with the ministry’s mission of service, dignity, and care for vulnerable populations.
The role also includes the crucial responsibility of training, equipping, and supporting volunteers, ensuring they are prepared to serve safely, respectfully, and effectively with trauma‑informed and harm‑reduction approaches.
Responsibilities and Duties
1. Procurement & Supply Coordination:
• Oversee procurement of food, hygiene products, and outreach supplies for the Daily Bread Outreach.
• Manage supplier relationships and ensure timely ordering, delivery, and allocation of resources.
• Maintain accurate records of inventory levels and forecast upcoming supply needs.
• Ensure compliance with storage, safety, and handling standards.
2. Community & Partnership Relations:
• Act as the primary point of contact between the Daily Bread Outreach Ministry and community partners, including shelters, local agencies, food banks, churches, non-profits, and donors.
• Cultivate and strengthen collaborative relationships that support outreach programming.
• Coordinate partnership meetings, follow ups, and shared initiatives.
• Represent the ministry professionally and compassionately in all community interactions.
3. Program Coordination & Reporting:
• Support planning, organizing, and execution of daily and special outreach activities.
• Prepare regular analytical reports related to inventory, budget usage, partnership activities, and client needs.
• Maintain accurate documentation of program metrics, service trends, and resource distribution.
• Assist leadership with strategic planning and needs assessment.
4. Budgeting & Financial Stewardship:
• Work with Daily Bread Outreach Coordinator to manage procurement budgets.
• Track expenditures and ensure cost effective purchasing.
• Provide monthly budget summaries and recommendations for financial efficiencies.
5. Safety, Crisis Response & Client Interaction:
• Utilize training in de escalation, trauma informed care, mental health literacy, and harm reduction to support safe and respectful engagement with community members.
• Assist staff and volunteers in responding appropriately to crisis situations.
• Promote a welcoming and dignified environment for all individuals served.
6. Volunteer Training and Collaboration:
• Coordinate with volunteer teams to ensure smooth distribution of supplies and food.
• Provide guidance and support based on best practices in safety, mental health awareness, and trauma-informed engagement.
• Ensure volunteers feel equipped, confident, and valued within their roles.

Qualifications
• Experience in procurement, supply chain coordination, food security work, or logistical planning.
• Experience in community outreach, volunteer coordination, or frontline service delivery.
• Experience working with vulnerable people (homelessness, mental health, addiction) is an asset.
• Experience leading or training volunteer teams is strongly preferred.
• Strong organizational and time‑management abilities.
• Excellent communication and interpersonal skills.
• Comfort presenting, leading training, and coaching volunteers.
• Ability to remain calm and compassionate in stressful or rapidly changing environments.
• Analytical and reporting skills; proficiency with spreadsheets and tracking tools.
• Ability to balance administrative duties with hands‑on outreach work.
• Alignment with the values, mission, and community-centered approach of the Archdiocese of Halifax-Yarmouth.
Conditions of Employment

Working conditions
• This position is part‑time and on‑site, with a schedule of 20 hours per week, Monday through Friday.

• Role involves regular movement, carrying supplies, and interacting directly with community members.
