Construction Project & Accounting Coordinator

Position Summary

Ti-Zack Concrete is looking for an accounting-minded Project & Accounting Coordinator to support our payroll, accounts payable, and project coordination functions. This role is ideal for someone with a foundation in accounting who enjoys the fast-paced, detail-heavy environment of construction operations. You'll work closely with project managers and the Controller to keep job costs accurate, crews paid on time, and vendors managed efficiently — while also helping keep projects organized and on track.

Payroll & Accounts Payable

· Process weekly payroll for field crews and office staff, including prevailing wage calculations, certified payroll reporting, and multi-state compliance where applicable

· Review and verify timecards, labor allocations, and job codes prior to payroll submission

· Process accounts payable — receive, review, code, and enter subcontractor and vendor invoices against purchase orders and subcontracts

· Coordinate weekly check runs with the Controller; maintain accurate payment records and aging reports

· Track and manage lien waivers (conditional and unconditional) from subcontractors and material suppliers

· Maintain subcontractor compliance files — insurance certificates, W-9s, executed contracts, and bonding documentation

· Assist with month-end close, including job cost reconciliation and WIP (work-in-progress) schedule updates

· Support year-end processes including 1099 preparation and payroll tax reconciliation

Project Coordination Responsibilities

· Assist project managers in tracking schedules, milestones, and deadlines across active jobs

· Maintain project documentation — contracts, submittals, RFIs, change orders, and daily field reports

· Prepare and submit AIA-format (G702/G703) pay applications and owner invoices on a monthly billing cycle

· Track job costs against budgets and flag variances to the project manager

· Coordinate material deliveries, subcontractor scheduling, and inspection appointments

· Serve as a point of contact for subcontractors and vendors on pay status and documentation requirements

Qualifications

· 2+ years of experience in an accounting, bookkeeping, or construction finance role — AP and/or payroll experience strongly preferred

· Associate's or Bachelor's degree in Accounting, Finance, or Business required; Construction Management coursework a plus

· Working knowledge of payroll processing, certified payroll requirements, and prevailing wage regulations

· Familiarity with AIA billing formats, lien waivers, and construction contract documents

· Proficiency in construction accounting software (Sage 300 CRE, Viewpoint, Foundation, or similar); strong Excel skills

· Solid understanding of job costing principles, cost coding, and WIP reporting

· Highly organized, accurate, and able to manage deadline-driven payroll and billing cycles

· Professional communication skills; comfortable working with field crews, project managers, and vendors
