This role is responsible for maintaining accurate financial data related to projects, monitoring job profitability, supporting operational decision-making, and helping leadership maintain strong financial controls.The ideal candidate has experience in construction accounting and job costing, understands project financial management, and can work closely with project managers, operations, purchasing, and leadership teams to improve budget accuracy and profitabilityEssential Duties (Core Competencies):Job Cost & Project Budget Oversight:Maintain accurate job costing for all construction and prefabrication projectsTrack and analyze:Labor costsMaterial costsSubcontractor costsEquipment expensesFreight and shipping costsOverhead allocationsMonitor projects budgets versus actual costsAssist in developing and maintain project budgetsWork closely with project managers and operations teams to identify cost overruns and budget concernsReview purchase orders and vendor commitments against project budgetsAssist with monthly project financial reviewsSupport forecasting of projects margins and cash flow needsWIP Reporting & Financial Analysis:Prepare and maintain accurate Work In Progress (WIP) schedulesTrack percentage-of-completion reporting and project revenue recognitionAssist leadership in evaluating:Cost-to-complete estimatesEarned revenueUnderbillings and overbillingsEstimated final project marginsGenerate weekly and monthly project financial reports for management reviewProvide analysis on project performance trends and cost driversDevelop reporting tools and dashboards to improve operational visibilityAssist with forecasting company backlog, cash flow, and project profitabilityBudgeting & Operational SupportParticipate in project startup meetings to establish financial tracking requirementsAssist estimating and project management teams with budget setup and cost planningReview change orders and assist with tracking approved and pending changesCoordinate with purchasing and operations to verify pricing and material cost accuracyAssist in evaluating vendor pricing, material usage, and purchasing trendsSupport inventory and material tracking procedures within fabrication and warehouse operationsHelp establish operational controls to improve project efficiency and accountabilityAccounting & Financial Support:Assist with month-end and year-end close processesReconcile job cost reports to general ledger activitySupport accounts payable and accounts receivable processes related to project accountingAssist with payroll allocation and labor costingMaintain accurate cost coding and project financial recordsSupport sales tax and multi-state construction reporting requirements and filingsAssist external CPA firms and auditors with financial documentation and tax filingsAssist with licensing for projectsHelp maintain accounting procedures and internal controlsAssist in monthly forecasting and projectionsComplete prequalification’s for jobs as neededOperational & Process Improvement:Manage and provide the monthly status on the bad-debt write-off process and provide recommendations for reserve accruals.Manage and provide monthly status reports on the release of bonds, liens, and all other related processes pertaining to cash and contract receivables.Manage the job status from active, to inactive, to closed, and issue status reports monthly. Help improve job cost tracking systems and reporting accuracyAssist leadership with financial analysis and operational reportingDevelop and maintain project cost tracking tools and dashboardsImprove documentation and purchasing controlsWork collaboratively with:Project managementPurchasingEstimatingOperationsExecutive leadershipSystems, Process Improvement & Leadership Support:Assist with implementation and improvement of ERP/accounting systemsHelp improve:Job cost accuracyReporting efficiencyPurchasing controlsFinancial workflowsInventory controlsDocumentation standardsDevelop standardized financial reporting procedures across departmentsTrain project managers and staff on job cost procedures and financial reporting expectationsSupport executive leadership with special projects, financial analysis, and operational initiativesParticipate in management meetings and project review discussions as neededPurchasing & Inventory ManagementAssist with materials, tools, equipment, and physical inventories, and cycle count as needed.Learn, understand, and support inventory management procedures and accounting.Other Duties As Needed:Assist with records retention maintenance.Provide payables and capital data for audits (insurance, state, internal).Follow up on vendor inquiries from vendors and/or employees.Establish new state/local reporting requirements, as necessary (includes online setup, maintaining a log of account numbers, filing requirements, and deadlines).Follow standard operating procedures to ensure employees can complete tasks successfully.Backup payroll timecard processing, as needed.Backup billing functions and accounts payable functions, as needed.Backup purchasing functions, as needed.Backup project management assistant functions for payables, as needed.Assist/provide expertise in setting up Excel files for various departments throughout the company.Provide training to other employees pertaining to Foundation, Excel, and other useful reporting tools to improve business knowledge.Supervisory/Management Requirements: N/AQualifications:To be successful in this role, an individual must be able to perform each essential duty satisfactorily.
