Position Summary
Under general supervision of the Manager, Finance, the finance assistant provides a variety of finance office professional support services related to accounts payable, payroll, customer service, and/or general finance support functions as assigned. The finance assistant produces financial journals, manages routine costs and collects data to record normal expenditure levels. The finance assistant assists the Manager in responding to queries in a timely manner. The finance assistant assists the Manager in process development, identifying any weaknesses in financial practice and suggesting changes.
Major Responsibilities:
- Responsible for providing assistance to the Manager in all accounting functions required by NCPDP, which include: accounts payable, accounts receivable, deposits (cash, checks, credit cards), payroll and general ledger.
- Responsible for payment for accounts payable once approved by the Chief Operating Officer
- Responsible for processing employee expense reports to ensure validation paperwork is in order and employee is paid in a timely manner.
- Responsible for daily account receivable reports from PayPal and Heartland and entering into Sage.
- Responsible for providing assistance to the Manager in all aspects of the budgetary process.
- Responsible for providing assistance in reconciling bank statements, credit card statements and maintaining bank balances.
- Responsible for providing assistance to the Manager as it relates to the annual audit.
- Responsible for the second payroll cycle of each month.
- Preparing payroll and processing into ADP and entering journal entry into Sage.
- Responsible for first payroll processing entry of each month when Manager is unavailable to process payroll.
- Responsible for processing HealthBucks and ensuring proper balances are correctly paid.
Qualifications
- Education/ Experience: Associates Degree with a combination of 2 years or more equivalent experience in business accounting or related area.
- Knowledge: Must have working knowledge of Microsoft Office and Sage Accounting
- Must have working knowledge of ADP/Workforce Now
- Skill: Strong customer service and communication skills.
- Abilities: Ability to take direction from direct supervisor and others. Ability to work independently and be a self-starter.
- The position is Full-time. Due to the requirements of the job, the position will reside in the Scottsdale, AZ office.
