Purpose Statement:
The job of Bookkeeper is done for the purpose/s of providing an array of fiscal services for the associated student body, school buildings and site employees who provide instructional and support services for students; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines.
Essential Functions
- Collects funds from student events (e.g. ticket sales, yearbook purchases, athletic letter distribution, etc.) for the purpose of ensuring the accuracy and timely completion of transactions.
- Coordinates development of reports (e.g. fund raisers, account balances, budget, etc.) for the purpose of meeting deadlines and complying with mandated requirements.
- Implements reporting procedures and internal controls for the purpose of maintaining accurate records and complying with the Uniform System of Financial Record keeping, district policies and other regulatory requirement.
- Informs personnel and/or vendors regarding required documentation and/or procedures for the purpose of conveying information necessary to complete transactions.
- Maintains a variety of fiscal information, files and records (e.g. accounts payable, checking accounts, accounts receivable, student activities, fees, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance.
- Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed.
- Organizes “by mail” registration for the purpose of supporting and organized registration process.
- Participates in student registration and withdrawal for the purpose of facilitating student fee issues.
- Prepares cash deposits from school activities for the purpose of making bank deposits.
- Prepares written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.

- Reconciles account balances for the purpose of maintaining accurate account balances and complying with related policies, practices and/or regulations.
- Researches discrepancies of financial information and/or documentation (e.g. purchase orders, invoices, etc.) for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.
- Responds to inquires (e.g. administration, staff, students, business office, etc) for the purpose of providing information and/or direction.
- Transports money for the purpose of making bank deposits; having the proper funds available for cash boxes to make change.
Other Functions
- Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements: Minimum Qualifications
SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; performing accounting procedures; performing standard bookkeeping; preparing and maintaining accurate records; adhering to safety practices; and using pertinent software applications.
KNOWLEDGE is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions.
Specific knowledge required to satisfactorily perform the functions of the job includes: accounting/bookkeeping principles; business telephone etiquette; computer and internet operations; concepts of grammar and punctuation; and federal, state and local policies, procedures and practices
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent
interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; working effectively with students, staff and community; working with detailed information/data; and working with frequent interruptions.
Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and monitoring budget expenditures. Utilization of resources from other work units s services.
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under some hazardous conditions.
