We are seeking an experienced Billing Specialist with 3–5+ years of relevant experience to join our team. This role is responsible for assisting with the firm's legal billing process from pre-bill review through final invoice submission. This role works closely with attorneys, legal assistants, and clients to ensure accurate, timely, and compliant billing while maintaining exceptional client service and adherence to firm policies and client billing guidelines.
Key Responsibilities
- Prepare, review, edit, and finalize monthly client invoices.
- Process attorney edits, write-offs, write-downs, and billing adjustments.
- Ensure invoices comply with client billing guidelines and outside counsel requirements.
- Submit electronic invoices through e-billing platforms (e.g., Clio, Legal Tracker, CounselLink, TyMetrix, Serengeti).
- Monitor invoice status and resolve rejected or disputed invoices.
- Maintain accurate billing records and client matter information in the firm's billing system.
- Generate and distribute pre-bills to attorneys for review and approval.
- Respond to attorney and client inquiries regarding billing, invoices, and account balances.
- Coordinate with the accounting department on accounts receivable, payment applications, and collections.
- Assist with month-end and year-end billing deadlines.
- Prepare billing reports and analyze billing trends as requested by management.
- Ensure compliance with firm policies, accounting procedures, and confidentiality requirements.
- Identify opportunities to improve billing efficiency and accuracy.
Experience & Requirements
- High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or business preferred.
- 3–5 years of billing experience, preferably in a law firm or professional services environment.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong analytical and problem-solving abilities.
- Ability to maintain confidentiality and exercise discretion.
- Customer service mindset with the ability to build positive relationships with attorneys, staff, and clients.
Preferred Qualifications
- Experience with LEDES billing formats.
- Experience working with Clio.
- Knowledge of accounts receivable and collections processes.
- Experience supporting multiple attorneys or practice groups.
- Advanced Microsoft Excel skills, including PivotTables and VLOOKUP/XLOOKUP.
