About the role:
The Administrator Accounts Receivable is responsible for handling all incoming payments related to the residential and small commercial mortgage portfolio. This role ensures that daily deposits are balanced and processed in a timely, accurate, and efficient manner, adhering to departmental Service Level Agreements (SLAs) and all relevant policies and procedures
Responsibilities:
Operational excellence
Reconcile mortgage payments daily, including pre-authorized payments, manual pre-authorized payments, cheques, western union, wires, Online bill payments etc. received from/for various departments.
Process all returned payment items for our residential and commercial mortgages.
When appropriate escalate any issues with mortgage payments and deposits that arise
Accurate Data entry into applicable channels/platforms
Recommend, contribute to and support departmental efficiencies and procedures
Risk Management & Compliance
Acts in accordance with the Company’s core values, Code of Conduct & all internal policies & standards
Engages in the highest standard of business conduct and ethics
Understands the regulatory & compliance requirements applicable to scope of responsibility
Incorporates regulatory & compliance requirements into existing business processes & activities
Service excellence
Liaise with other internal departments and external partners (BMO, Scotiabank, Western Union etc.) to resolve customer or deposit issues in regards Mortgage Payments and Deposits
Provide coverage as required for shared communication channels to ensure SLAs are achieved
Mitigate incidence of complaints and out of pocket expenses by adhering to SLAs and highest standard of accuracy
Provide support to various departments ensuring that all payments and deposits are processed accurately and within mandated SLAs.
What we’re looking for:
Post secondary degree or diploma required (University degree preferred) in Finance, Business or equivalent
Additional relevant accreditation(s), certification(s) are strong assets
One to two years' related administrative experience in financial services, payment processing preferred
Two years in high volume transactional work environment
Demonstrated accuracy and efficiency processing a high volume of transactions
Solid understanding of accounting related transactions and procedures
Solution-focused, takes initiative to work effectively within established guidelines
Strong organizational and time-management skills
Analytical and detail oriented
Demonstrated customer service, interpersonal, relationship building and listening skills
Proven ability to work both independently and collaboratively within a team environment
Effective written/ verbal communication
Able to multi-task and flourish in a fast-paced, deadline-driven work environment
Proficiency MS Office, Outlook, Excel, Word
