Qualifications:

  1. High School Diploma supplemented by one to two years of administrative support and/or bookkeeping experience or a combination of education, training, and experience that provides the required knowledge, skills and abilities.
  2. Training and/or experience with Microsoft Office programs, Internet usage, and other accounting or database software programs preferred.
  3. Working knowledge of basic office procedures and the operation of common office equipment and machines.
  4. Knowledge to create financial transactions and experience in accounts payable, invoices, reconciliations, and payroll procedures desired
  5. Ability to communicate and work well with others.

Reports to: Director of Transportation

Performance Responsibilities:

  1. Prepare, analyze, and reconcile financial accounting reports and data for review by District Administration.
  2. Comply with local, state, and federal government reporting requirements.
  3. Maintain an orderly accounting filing system.
  4. Process a variety of forms and reports to ensure proper and complete accountability of funds. Examine and check documents for conformity with District Policies.
  5. Counts, records, and deposits any monies received in the transportation department.
  6. Prepares and enters purchase orders in District iVisions accounting software program.
  7. Collects and maintains receipts for department purchasing card transactions and timely codes expenses in Bank of America Works program.
  8. Conduct periodic, at a minimum monthly, reconciliations of all maintenance general ledger accounts to ensure their accuracy.
  9. Review variances from the budget and report significant issues to administration
  10. Tags and monitors school fixed asset additions and deletions.
  11. Records and reconciles department staff absences in district payroll system as needed.
  12. Monitors office supply levels and reorders as necessary.
  13. Receives deliveries of material and verifies against purchase orders.
  14. Prepares and distributes various communications as directed by supervisor.
  15. Performs various administrative support duties including answering telephone and two-way radio, distributing mail, typing, filing, copying, etc.
  16. Operates and coordinates the maintenance of a variety of equipment including, but not limited to, telephone, computer, printer, typewriter, calculator, copying machine, etc.
  17. Interacts and communicates with district administration, school administration, co-workers, teachers, vendors and the general public as needed.
  18. Participates in in-service training programs offered.
  19. Coordinates appointments and calendar as needed for supervisor.
  20. Performs other duties as assigned.

Terms of Employment: 240-days per year, 8 hours per day (excluding ½ hour unpaid lunch), nonexempt.

Salary: S3a FMSD Salary Schedule, Salary commensurate with experience and education based on district formula placement.

Evaluation: Performance of this job will be evaluated annually in accordance with provisions of the board’s policy on evaluation of non-certified personnel.
