Overview
We are seeking a detail-oriented and organized Accounts Receivable & Office Administrator to join our team. This role is vital in managing financial transactions, maintaining accurate records, and supporting daily office operations. The ideal candidate will possess strong bookkeeping skills, proficiency with accounting software, and excellent customer service abilities to ensure smooth financial processes and positive client interactions.
Duties
- Manage accounts receivable processes, including invoicing, collections, and account analysis
- Perform accounts payable tasks, ensuring timely payments and accurate record-keeping
- Utilize accounting software such as QuickBooks, Sage, and PeopleSoft for data entry and financial management
- Reconcile accounts and perform detailed account analysis to identify discrepancies or issues
- Maintain accurate financial records through diligent bookkeeping and data entry
- Conduct account reconciliation to ensure consistency across various financial statements
- Assist with general office administration tasks, including filing, correspondence, and document management
- Provide exceptional customer service by addressing client inquiries related to billing and payments via phone or email
- Support financial reporting and analysis to aid management decision-making
- Collaborate with team members on financial services projects and process improvements
- Proven experience with accounting software such as QuickBooks, Sage, and PeopleSoft
- Strong knowledge of bookkeeping, accounts receivable/payable, and account reconciliation processes
- Excellent data entry skills with high accuracy and attention to detail
- Strong analytical skills for account analysis and problem-solving
- Effective negotiation skills for collections and client communications
- Outstanding phone etiquette and customer service skills
- Ability to perform basic math calculations accurately
- Familiarity with financial services industry standards is a plus
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Prior experience in a similar role involving accounting or administrative responsibilities is preferred
