POSITION OVERVIEW
The Accounts Receivable Clerk is responsible for entering sales and service orders into the
financial system and assuring the timely billing of charges, and collection of
aged receivables. Provides administrative support to management and team members.
· Provide back-up support to the Receptionist Desk, which includes
answering incoming calls and directing as appropriate or taking detailed phone
messages and dispensing
· Rotating back-up for receptionist to cover lunches and absentees
· Enter goods receipts into the financial system and coordinates
with Inventory Department to ensure all tickets have been received into system
· Invoice sales orders for products and services
· Implement billing procedures and collection
procedures, meet all billing deadlines
· Coordinate with Operations Manager on billable technician hours
· Responsible for credit applications from customers
· Collection efforts on behalf of the company on aged receivables
· Maintaining accounts receivable files
· Timely process customer inquiries, ensuring excellent customer relations
· Process month end reports for sales
· A/R research projects as assigned
· Assist the Controller or Office Manager with month end reporting
· Providing superior customer service
· Other duties and tasks as assigned by the Office Manager
QUALIFICATIONS:
· High School Diploma, or equivalent
· Prefer previous oil and gas industry experience
· 3+ years’ experience in administrative capacity
· 3+ years’ experience in accounting
· Disciplined self-starter who can successfully bring projects and
tasks to closure with minimum direction, guidance and oversight
· Team player with the ability to effectively interact with clients
and peers in a collaborative and constructive manner
· Excellent organization and time management skills to handle
multiple tasks simultaneously
· Ability to independently prioritize workloads and multi-task
· Ability to work well under fast-paced environment
· Prior knowledge of Open Ticket and Open Invoice
· Excellent communication skills
· Must understand and follow all safety policies and apply good
practices while working
· Must be able to read, write and comprehend English, bilingual is a
plus
· Must demonstrate ability to work in a team environment and
willingness to assume additional or new responsibilities readily
· Solid team driven attitude and work ethic
WORK ENVIRONMENT
While performing the duties of this job, the employee is
occasionally exposed to outside weather conditions. The job activities will require the employee
to work in an office environment.
PHYSICAL DEMANDS
The employee is occasionally required to stand, walk, stoop, or kneel to perform maintenance on the
equipment. The employee must
occasionally lift and/or move up to 50 pounds.
Flexibility in work schedule is also
required for possible overtime, work on holidays, weekends and extended hours
with minimal notice and as required by operational need.
