Position Summary
The Accounts Payable Supervisor is a key part of NYC Ballet’s Finance team, supporting the Department’s drive for efficiency, accuracy, and timeliness. The role is hands-on with invoice and payment processing, while also focusing on maintaining strong internal controls, improving AP processes, and ensuring compliance with company policies and accounting standards. This role supervises one Part-Time Accounts Payable Specialist.
Key Responsibilities
Invoice Management and Payment Processing
- Responsible for the day-to-day operation and workflow of the Accounts Payable function, including daily invoice intake, review, coding, and entry.
- Ensure the timely and accurate execution of weekly payment batches, including electronic payment preparation, maintaining logs, validating banking details, and routing for appropriate approvals in accordance with policy.
- Troubleshoot payment issues, such as data discrepancies, rejected payments, and compliance flags. Escalate and drive timely resolution with internal teams and vendors.
- Establish and enforce consistent documentation and filing standards to support audit readiness.
Vendor Relations and Support
- Responsible for maintaining vendor master data integrity, including tax documentation and 1099 reporting, validating supporting documentation, and ensuring required approvals are obtained.
- Manage the AP mailbox to ensure timely responses and resolutions. Work proactively with internal teams to resolve issues and communicate payment status.
- Build and maintain positive relationships with vendors by providing responsive and professional support.
Other Responsibilities
- Support audits and inquiries by providing requested records, explanations, and process documentation; ensure ongoing compliance with organizational and banking controls.
- Identify and implement improvements to strengthen controls, reduce cycle times, and increase accuracy and efficiency (e.g., standardization, automation, vendor communications).
Qualifications
- Experience: 8+ years of Accounts Payable experience, including at least 3 years in a lead or supervisory capacity.
- Demonstrated ability to train, delegate, and review work to maintain quality and meet deadlines.
- Strong knowledge of AP best practices and internal controls (including electronic payment controls and vendor verification).
- Excellent communication, customer service, and problem-solving skills, with ability to manage vendor escalations professionally.
Work Schedule
Full-time: Hybrid (3 days in-office, 2 days remote).
