Works under the supervision of the Team Leader-Finance Support. An Accounts Payable Specialist is responsible for all aspects of the accounts payable. Each clerk is responsible for adherence to government regulations and the proper storage of records.
Responsibilities
- Maintains current accounts with all vendors by properly assigning invoices the correct vendor identification number, matching invoices to the correct receipts, resolving differences between invoices and receipts, taking advantage of all discounts and making payments in a timely manner.
- Ensures that all payments, whether automatic or manual, are made only with the proper authorization in accordance with the established standards of the system. In addition, all disbursements will be made in accordance with all city, county, state or federal requirements and regulations.
- Ensures that all reporting, both internal for control purposes and external for tax reporting, be in accordance with system guidelines and government regulations.
- Maintains organized and efficient record storage of vendor information of both current files and off-line storage. Ensures that storage meets federal and state guidelines for document retention. Bears the responsibility for movement of old files to storage.
- Performs check runs and disbursements according to established schedules.
- Maintains W-9 and 1099 information during the year and prepares and reports annual 1099 information.
- Resolves all discrepancies with vendors and employees.
- Monitors status of unpaid invoices and open purchase orders.

Education
- H.S. Diploma - Required
- Personal computer spreadsheet knowledge - Preferred
Work Experience
- 2 Years - Experience with data entry experience. Within one year should adequately perform all duties. - Required
