The Accounts Payable Specialist manages the end-to-end processing of vendor invoices and disbursements within the Accounting Department, ensuring payment accuracy, compliance with established authorization controls, and adherence to payment schedules. The role supports month-end close, vendor record maintenance, and internal and external audit activity, while collaborating cross-functionally to drive efficiency and continuous improvement in the accounts payable process.

- Follow, promote, and enforce all labor laws, safety policies, practices, and procedures to ensure safe working conditions and behaviors are maintained.
- Process a high volume of vendor invoices by matching to purchase orders and receiving documents, verifying authorization, confirming billing accuracy, and entering data into the accounting system.
- Execute weekly and bi-weekly payment runs, including checks, ACH transfers, and wire payments, in accordance with established payment schedules and approval workflows.
- Reconcile vendor statements to ensure all invoices, credits, and payments are accurately recorded and that outstanding balances are resolved in a timely manner.
- Investigate and resolve discrepancies related to invoices, purchase orders, and payments by collaborating with vendors and internal stakeholders, including purchasing, receiving, and finance.
- Support the month-end close process by preparing accruals, completing reconciliations, and recording journal entries related to accounts payable.
- Maintain accurate and current vendor files, including W-9 forms, contracts, payment terms, and correspondence, in accordance with record retention requirements.
- Support internal and external audits by organizing and providing supporting documentation, responding to inquiries, and assisting with testing and sample requests.
- Maintain accurate records and tracking tools to support AP reporting, reconciliation, and operational visibility.
- Identify opportunities to streamline accounts payable workflows and recommend process improvements that increase efficiency and reduce the risk of error.
- Maintain compliance with company policies and applicable tax and regulatory requirements, including support for 1099 preparation and filing.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent required; associate’s degree in accounting, Finance, or a related field a plus.
- Minimum of 5 years of accounts payable or related accounting experience required.
- Experience with accounting or ERP systems; familiarity with Aspire or Acumatica a plus.
- Demonstrated ability to manage a high volume of transactions with precision and consistency in a fast-paced environment.
- Strong verbal and written communication skills, with the ability to effectively share information across teams and stakeholders.
- Proficient in computer and technology skills including working knowledge of Microsoft Office Suite (Outlook, Excel, Word) and mobile devices.
