Accounts Payable Specialist

Purpose: To provide timely and accurate payment of approved invoices by utilizing business knowledge, technical skills, initiative, and company accounting software tools. Ability to analyze, problem solve and make decisions in a teamwork environment. Exceptional attention to detail and strong focus on customer service.

Responsibilities

• Three-way matching of company purchase orders, item receipts, and vendor invoices
• Scan and attach vendor invoices to transactions
• Resolve price and quantity discrepancies with purchasing department in an efficient and friendly manner
• Weekly check preparation and mailing
• Single sign-on vendor payment management
• Reconcile vendor statements and communicate with vendors, departments, and supervisors regarding outstanding invoices
• Maintain vendor records, including contacts, W9s, email addresses, payment addresses, etc.
• Communicate timely with employees and vendors
• Answer all employee requests in an urgent and accurate manner
• Assist with annual audits and prepare reports
• Other duties and special projects as assigned

Job Requirements

• 2-3 years accounts payable and general accounting experience
• Knowledge of accounts payable and general accounting procedures
• Proficient in data entry and management of records
• Exceptional customer service and communications skills
• Ability to meet strict deadlines
• Discipline to work in an unsupervised manner
• Good MS Word, Excel and Outlook skills
