JOB SUMMARY
The Accounts Payable Coordinator oversees all aspects of the accounts payable process at the City including but not limited to: verifying proper payment approval, processing payments in a timely manner, and ensuring that discounts are taken. Many duties require independent judgment or policy compliance in the application of guidelines and procedures to defined accounting or administrative processes.
TYPICAL DUTIES
- Generates accounts payable checks and accounts payable reports.
- Distributes checks to vendors on a weekly basis.
- Sets up new vendors in the system and maintains appropriate documentation for annual filings.
- Provides training and support for all departments with regard to purchase orders, payments, invoices, statements, etc.
- Balances statements and audits employee expense reimbursement reports to ensure compliance with City policies and IRS rules and regulations.
- Responsible for reconciling and paying the Citys purchasing card statements on a monthly basis.
- Corresponds with vendors and other department personnel inquiring about specific payments.
- Distributes reports to appropriate personnel.
- Produces yearly 1099 forms and completes mailing within Federal Guidelines.
- Perform backup duties for payroll and the cashier and other office duties including phone reception as needed.
- Maintains and updates Finance Department reports and records stored in the Citys Emergency Operations Center.
- All other duties as assigned.
MINIMUM QUALIFICATIONS
- High school graduate or equivalent (G.E.D.) and two years of experience as accounting clerk or any comparable accounting or finance position or equivalent in formal education and/or experience.
- Knowledge of basic principles and practices of clerical accounting and bookkeeping.
- Computer literacy in Microsoft Office software
PREFERRED QUALIFICATIONS
- Graduation from an accredited college with a Bachelors degree in a related field
