Our Client is a well established, family owned distributor of electronic components with an opportunity for an Accounting & Office Coordinator to join their team in Lynbrook, NY.
This is a unique opportunity for someone who enjoys variety in their day. Approximately half of the role is dedicated to Accounts Receivable and Accounts Payable, while the remainder focuses on supporting day to day business operations. The ideal person is someone who enjoys wearing multiple hats, takes pride in helping wherever needed, and thrives in a collaborative small business environment.
Key Responsibilities
Accounting
• Manage the full accounts payable process, including matching vendor invoices to purchase orders, processing ACH, wire, check, and credit card payments, and maintaining accurate records.
• Manage accounts receivable, including customer invoicing, payment application, collections follow up, and daily cash activity.
• Review invoices and purchase orders for accuracy and identify discrepancies before processing.
• Maintain accurate financial records in QuickBooks Online and the company's ERP system.
• Process returns and support other accounting related activities as needed.
• Work independently while collaborating with an outside bookkeeper who handles bank reconciliations to maintain appropriate accounting controls.
Office & Operations Support
• Provide general administrative support across the office.
• Assist the sales and purchasing teams with order entry, pricing updates, customer support, and other administrative tasks during busy periods.
• Help receive larger product shipments by verifying quantities and assisting with inventory related activities.
• Support special projects and other operational needs as they arise.
• Be a dependable team member who is willing to step in wherever help is needed.
Systems
• QuickBooks Online (expereince here is a must)
• ERP system (training provided)
• Chase, American Express, and JPMorgan Access
• Paymentech
• Amazon and eBay seller platforms
Qualifications
• At least 2 years of hands on QuickBooks Online experience is required.
• Experience managing both Accounts Payable and Accounts Receivable.
• Exceptional attention to detail with the ability to identify discrepancies between purchase orders, invoices, and customer orders.
• Strong organizational and time management skills.
• Ability to work independently with minimal supervision.
• A positive attitude and willingness to support different areas of the business.
• Experience in bookkeeping, accounting support, or office accounting within a small business environment is preferred.
Compensation & Schedule
• $60,000 to $70,000 annual salary based on experience.
• Full time, on site position in Lynbrook, NY.
• A four day work week may be considered for an exceptional candidate.
