JOB SUMMARY :

The Accounts Payable Administrator is responsible for the accurate and timely processing of vendor invoices for payment. 

DUTIES/RESPONSIBILITIES:

The requirements listed below are representative of the essential duties required:

  • Voucher and process 3-way match invoices.
  • Code and Voucher Non-PO invoices from vendors.
  • Assist in weekly check runs.
  • Assist in weekly wire payment processing.
  • Process credit memos received from vendors.
  • Maintain vendor prepayment detail.
  • Resolve issues with vendors.
  • Review expense reimbursement requests for allowable and unallowable costs for proper recordation.
  • Other duties as required.

LEVEL OF RESPONSIBILITY: 

  • Employee works under general supervision.
  • Employee makes decisions within clearly prescribed areas referring matters that fall outside that area to others.
  • Employee recommends actions and alternatives to supervisor and others.

 SUPERVISORY RESPONSIBILITIES:

  • None.

REQUIRED SKILLS/ABILITIES:

  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential and meticulous records.
  • Must be reliable and trustworthy.
  • Position requires basic data input into company software systems such as email, ERP system, or other internal databases.

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in Accounting or relevant experience.
  • 1-3 years of experience.
  • Basic, introductory on-the-job training required.

Physical Demands/Efforts

  • Prolonged periods of sitting at a desk working on a computer. 
  • Little or no physical exertion.

Mental & Visual Demands

  • Work requires considerable mental concentration to effectively execute complex tasks.
  • Visual acuity to work with programs on the computer.
  • Work requires frequent visual effort for extended periods of time.

Work Environment and Hazards

  • Some areas in the building are not climate controlled.
  • Working environment is typical of an office setting.
  • Absence of hazards.
