SUMMARY

The Accounting Specialist I processes accounts payable invoices and completes other accounting support duties. The position works collaboratively with other departments throughout the company and requires a strong aptitude for details and the ability to work in a time sensitive environment.

The Accounting Specialist I job description is intended to point out major duties and authorities within the position, but it is not limited to these items.

ESSENTIAL FUNCTIONS

• Manage the AP email box including distribution of emails, responses to misc. requests, receipt of invoices. 

• Catalog invoices received from vendors in preparation for PO processing and approval routing. 

• Accurately process vendor invoices using imaging and accounting software including non-PO invoices and PO invoices using the three-way match process.

• Assist with monitoring vendor discount payment terms and payments to ensure discounts are captured in each week’s payment run.

• Monitor vouchers payable and work with the purchasing department and vendors for resolution. This includes a weekly Invoice Action meeting for collaboration and resolution, and monthly GL reconciliation of vouchers payable.

• Reconcile monthly account statements for major vendors.

• Assist with processing customer and vendor returns, working collaboratively with purchasing, inventory control as needed.

• Assist with weekly check, ACH and AMEX payment runs. 

• Accounts payable customer service and monitoring of AP email box. 

• Provide back-up support for AR parts processing and other possible opportunities within the accounting team.

• Provide back-up support for packaging materials orders to voucher and bill drop-shipment orders for vendors and customers. 

• Perform other tasks or duties as assigned.

JOB SPECIFICATIONS

Education and Experience:

• Two-year degree in accounting, math, business or equivalent.

• Basic accounting knowledge required.

• Minimum of 2 years of experience in accounting.

• Knowledge of Syteline/Infor accounting software a plus.

Technical Skills and Abilities:

• Experience working with Microsoft Office Programs and proficient at using Word, Outlook, Excel.

• Demonstrated organizational and time management skills.

• Able to adapt to a fast-paced environment.

Interpersonal Communication:

• Communicate effectively to give and receive detailed information through verbal and/or non-verbal communication in person or using the telephone; exchange ideas and accurately convey detailed information to customers, co-workers, supervisors, vendors, and others inside and outside the company.

Physical Requirements:

• Sit at a desk or in meetings for extended periods of time that often include extensive time on a computer.

• Stand and walk for a portion of the day to interact with other employees.

• Able to judge distances and space relationships to successfully complete detailed activities to fine tolerances, including reading spreadsheets and other documents.

• Possess arm and hand mobility and strength to lift, hold, reach, carry, push and pull packages, supplies, and the like used by the Accounting Department. 

Work Environment:

•  Ninety percent (90%) of the work is performed in an office setting, performing detailed work sitting or standing at a desk and working on a computer, or working at an office table.

• Ten percent (10%) of the work is performed on the production floor with exposure to tools, dirt, dust, chemicals, metals, plastics, varying temperatures, construction noises, and odors from the production process.  

Tools & Equipment:

• Use general office equipment such as computer, printer, telephone, fax machine, copiers, e-mail, calculator and other such equipment.
