Job Description:

Accounting Support

• Accurately record daily financial transactions in Intacct accounting software.
• Reconcile bank accounts and company credit card activity daily.
• Maintain well-organized digital and physical filing systems for receipts, invoices, and financial documents.
• Assist with day-to-day receivable and payable transactions and update status reports.
• Support expense management processes, including reporting, verification, and reimbursement tracking.
• Assist with compiling documentation for audits, tax filings, and compliance reporting.
• Collaborate with team members to streamline workflows and recommend process improvements.

Office Administration

• Welcome and assist visitors, clients, and vendors in a courteous and professional manner.
• Manage incoming communications, including phone calls, emails, and general inquiries.
• Oversee office mailbox: sort, scan, and forward mail to appropriate recipients.
• Coordinate meetings, appointments, and conference calls, including scheduling and logistics.
• Monitor and replenish office supplies and equipment to ensure smooth operations.
• Draft, edit, and proofread correspondence, reports, and other business documents.
• Maintain organized filing systems (both electronic and paper-based) to support accessibility and compliance.
• Provide administrative support to staff and management as needed.
