Accounting Specialist (Accounts Payable)

Position Summary:

Essential Functions and Responsibilities:

1. Processes outgoing payments

2. Manages accounts payable process utilizing accounting software (JD Edwards) and other programs (ORION, Excel, etc.)

3. Receives purchase orders from MRO Buyer and ensures proper voucher is created in accounting system

4. Generates necessary transactions based on supporting reports

5. Enters activity into system to enable necessary financial reporting

6. Issues, verifies, and stamps checks as required for immediate disbursement

7. Administers the petty cash fund

8. Reconciles company credit card activity

9. Maintains records for work from home reimbursements and coordinates approval and payment with Human Resources

10. Processes incoming and outgoing company mail

11. Applies checks to customer orders; deposits customer checks and other checks

12. Assists with the reconciliation of product manufacturer invoices to the ORION system, makes payment entries, and works with vendors and internal staff to resolve account and/or product issues

13. Performs other related tasks as may be assigned by the Manager of Finance

Other Duties and Responsibilities:

1. Trained and responds to Code calls as required

2. Assists with other tasks and projects as required

Knowledge, Skills, and Abilities:

• Must be able to independently structure and organize regular working activities

• Must be flexible and able to manage multiple tasks and priorities

• Must be able to work in a pressured, high-volume work environment

• Must be able to work in a team environment

• Must be familiar with a variety of computer programs including Microsoft Word, Excel, and Outlook

• Must have strong English communication skills, both verbal and written

• Must be comfortable and capable of working in a general office environment

• Occasional standing, walking, bending, and stooping required

• Must follow all safety regulations

• Must be able to regularly lift and move up to 10 pounds and occasionally lift and move up to 25 pounds

• Should possess a strong commitment to providing excellent service to Replacements’ internal and external customers

Education and Other Specialized Skills:

• Experience in billing, financial, and accounting principles required
• High school diploma or GED required
• Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or an equivalent experience preferred
