The Office Manager, after a training period, will lead both the accounting functions and general administrative operations of our construction office. You will manage project-specific billing, accounts payable/receivable, payroll, and cash flow, while collaborating with estimators and project managers. The ideal candidate ensures the financial integrity of projects and keeps our operations running efficiently.
RequirementsKey Responsibilities:
Accounting & Project Financials
Cash Management:
- Monitor cash flow, reconcile accounts, and facilitate banking activities.
Billing & Invoicing:
- Prepare and process complex construction billings, including progress payments and AIA billing.
Accounts Payable & Receivable:
- Manage vendor and subcontractor payments, enforce compliance documentation (such as lien waivers), and ensure timely collections.
Job Costing:
- Oversee project budgets, track expenses, and analyze cost variances against project estimates.
Financial Reporting:
- Compile accurate, monthly, and quarterly financial statements and project status reports for senior management.
Office Administration & Payroll
Payroll Processing:
- Administer weekly/bi-weekly payroll, process certified payroll (when required for prevailing wage jobs), and maintain accurate tax and benefit records.
Human Resources:
- Assist with new employee onboarding, benefit enrollments, and worker's compensation insurance audits.
Office Operations:
- Maintain smooth office functionality by, fielding incoming project inquiry emails/calls, scheduling appointments for estimators, ordering office supplies, and overseeing IT and telecommunication systems.
Document & Risk Management:
- Monitor insurance certificates from subcontractors and maintain organized contract and document files.
Compliance & Audits
- Ensure adherence to GAAP standards and local, state, and federal tax regulations.
- Organize and prepare files and statements for annual internal and external audits.
- Establish and continuously improve internal accounting controls and operating procedures to safeguard company assets.
Qualifications & Requirements
- Education: Bachelor’s degree in Accounting, Finance, or Business Administration (or equivalent experience).
- Experience: Minimum 3 years of proven accounting and office management experience.
- Tech Skills: High proficiency with QuickBooks and Microsoft Office Suite (advanced Excel skills preferred).
- Skills: Strong attention to detail and ability to communicate effectively with project managers, vendors, and employees.
