We are currently seeking an Accounting Data Entry Specialist to join our CAL FIRE support team in Sacramento, California. This role serves as a key member of the accounting and logistics team, helping ensure the timely and accurate processing of invoices, vendor payments, and billing activities that support critical operations.
Job Summary
The Accounting Data Entry Specialist responsibilities include collecting and entering data in databases and maintaining accurate records of valuable company accounting information. Our ideal candidate has necessary data entry skills, with an eye for detail and familiarity with spreadsheets and online forms and will work with our accounting, procurement, receiving, and logistics teams regularly.
Essential Job Responsibilities
- Record customer and account data by inputting text based and numerical information from source documents within time limits.
- Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry and review data for deficiencies or errors, correct any incompatibilities if possible and check output.
- Research and obtain further information for incomplete documents.
- Follow up on placed orders and payments with vendors
- Negotiate terms with vendors.
- Continual tracking of all invoices/packing slips during all stages of completion
- Compile check numbers, update status into database. · Retrieve invoices, enter the database.
- Provide weekly billing reporting.
- Scan documents and print files when needed.
- Keep information confidential.
- Respond to queries for information and access relevant files.
- Comply with data integrity and security policies.
- Ensure proper use of office equipment and address any malfunctions.
- Other duties as assigned.
Skills/Abilities
- Typing speed and accuracy.
- Excellent knowledge of correct spelling, grammar, and punctuation. · Attention to detail.
- Must be willing to learn and be proficient in current and new software systems · Organization skills, with an ability to stay focused on assigned tasks.
Required Education and Experience
- High School Diploma
- Experience with MS Office and data programs.
- Familiarity with administrative duties.
- Experience using office equipment, like fax machines and scanners.
Desired Qualifications
Previous experience as a Data Entry Clerk or similar position.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Frequent use of hands and fingers for keyboarding and data entry.
- Ability to communicate effectively in person, by telephone, and electronically.
- Occasionally lift and move up to 15 pounds.
Work Environment
This position is primarily performed in an office environment with regular interaction with accounting, procurement, receiving, and logistics personnel.
