Accounting Clerk
Position Overview
The Accounting Clerk is responsible for preparing reconciliations and financial analyses as needed by management, supporting accounts payable and accounts receivable functions, and providing general accounting and administrative support. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced and dynamic environment.
The successful candidate will demonstrate professionalism in customer service, sound decision-making, and excellent oral and written communication skills. This position requires comfort working with the public, the ability to handle confidential information, and a commitment to teamwork and accuracy.
This role supports the YMCA’s mission and core values of honesty, respect, caring, acceptance, responsibility, and fairness. Adherence to the YMCA Child Protection Policies and Procedures and completion of a satisfactory Criminal Record Check, including Vulnerable Sector Search, are required.
Key Responsibilities
1. Full-Cycle Accounts Payable and Accounts Receivable SupportAccurately enter invoices, expenses, and bills into the accounting software system, QuickBooks.
Perform credit card reconciliations.
Prepare Accounts Payable Aging Reports for all departments.
Process payments prior to the due date.
Analyze daily cash sheets and prepare monthly cash sheet summaries.
Prepare monthly invoices to families and ensure timely collection of payments.
Process accounts receivable fee payments for all departments.
Prepare and manage monthly trade accounts receivable and record payments, including donations and government funding.
Prepare NSF and declined payment reports and contact account holders as required.
Report financial totals using spreadsheets and provide summaries to management as needed.
Communicate with parents, members, and staff regarding financial matters, payment arrangements, and account status.
Provide excellent customer service while maintaining confidentiality and professionalism in all financial communications.
Support colleagues and departments with financial information as needed.
Assist with reconciliations, reporting, and general administrative support for the Finance Department.
Assist with fulfilling auditor requests.
Maintain organized and accurate electronic and hard-copy filing systems.
Perform other related duties as assigned to support the overall operations of the Finance Department.
Qualifications
Post-secondary education in finance or accounting, or currently working toward completion.
Proficiency with accounting software, QuickBooks preferred, and Microsoft Office applications, particularly Excel.
Strong organizational and time management skills with excellent attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong communication and customer service skills.
Demonstrated ability to work independently and as part of a team.
Current Criminal Record Check, including Vulnerable Sector Search.
