- Set up new jobs in the ERP system, including budgets, phases, cost types, and contract amounts.
- Review job information to verify taxability and billing requirements.
- Enter contract items and change orders into the ERP system.
- Prepare and process customer invoices for construction projects.
- Review contracts, purchase orders, work tickets, and other billing documents.
- Confirm completed work, quantities, and rates with project managers and field personnel.
- Prepare progress and time and material billings.
- Track unbilled work, retainage, and missing documentation.
- Submit invoices through customer portals or email.
- Complete Procore to Vista ERP integrations and verify transferred information.
- Record monthly work in progress (WIP) entries.
- Assist with accounts receivable, billing questions, and payment discrepancies.
- Assist with creating deposit batches/files.
- Maintain accurate customer, project, and billing records.
- Assist with month-end accounting duties and other tasks as assigned.
- High school diploma or GED required.
- Previous billing, accounts receivable, bookkeeping, or accounting experience preferred.
- Construction billing or job cost accounting experience preferred.
- Experience with Viewpoint Vista and Procore is a plus.
- Proficient in Microsoft Excel, Outlook, and accounting software.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication and teamwork skills.
