POSITION DESCRIPTION
Title: Accounting Associate
Reporting to: Director, Finance
Status: Full Time, Permanent
Compensation: $59,000-$65,000 annual salary
POSITION SUMMARY
This is a new role.
Reporting to the Director of Finance, the Accounting Associate plays an important role in maintaining accurate financial records and supporting the day-to-day accounting functions of the organization. This position is ideal for someone who enjoys working in a collaborative not-for-profit environment and is passionate about contributing to animal welfare initiatives.
The successful candidate will assist with accounts payable and receivable, reconciliations, donor and grant tracking, payroll support, and month-end processes while ensuring compliance with applicable accounting standards and organizational policies.
Work Environment
- Busy, open-concept office environment
- Pet-friendly workspace with potential for exposure to a variety of animal species
- Regular hours of work are Monday-Friday, 8:00am-4:30pm
- Primarily in-person with potential for some remote work to support a balanced schedule

RESPONSIBILITIES
- Assist with accounts payable and receivable transactions to ensure accuracy and timeliness
- Prepare and issue invoices, expense reimbursements, and payment batches
- Reconcile bank accounts, credit cards, and general ledger accounts
- Support payroll processing and maintain payroll records
- Assist with month-end and year-end closing procedures
- Maintain accurate financial documentation and filing systems
- Track restricted donations, grants, and program funding allocations
- Prepare financial reports, summaries, and supporting schedules as required
- Assist with annual audit preparation and respond to auditor requests
- Support budgeting and forecasting activities
- Participate in process improvements and administrative support as needed
- Ensure compliance with CRA regulations, organizational policies, and not-for-profit accounting practices
- Work in compliance with all centre policies/procedures and the Occupational Health & Safety Act
- Advocate for and continuously embody the mission, vision, and values of the Peterborough Humane Society
QUALIFICATIONS
Education:
- Diploma or degree in Accounting, Finance, Business Administration, or related field
Experience:
- Minimum 3 years of accounting or bookkeeping experience, preferably in a not-for-profit environment
- Experience with accounting software Sage50, or similar system
- Experience with donor databases an asset
Knowledge:
- Canadian accounting principles and Ontario payroll regulations
- Fund accounting practices
- Familiarity with CRA charitable reporting requirements considered an asset
Skills & Abilities:
- Proficiency in Microsoft Excel, Office and Google Suite applications
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Excellent communication and interpersonal skills
- Alignment with the organization’s mission and commitment to animal welfare
