Position Summary
The Accounting Assistant supports the finance and accounting operations of the engineering firm by maintaining accurate financial records, processing transactions, assisting with project accounting, and ensuring compliance with company policies and accounting standards. This role works closely with project managers, engineers, vendors, and clients to support the financial success of engineering projects.
Key Responsibilities
- Process accounts payable and accounts receivable transactions.
- Prepare and submit client invoices based on project milestones, contracts, and timesheets.
- Reconcile bank statements, credit card accounts, and general ledger entries.
- Assist with project cost tracking, budget monitoring, and expense allocation.
- Maintain financial records, accounting files, and supporting documentation.
- Enter and verify payroll-related information and employee expense reports.
- Support month-end and year-end closing activities.
- Assist in preparing financial reports, project profitability reports, and management summaries.
- Monitor outstanding invoices and follow up on collections as needed.
- Ensure compliance with accounting procedures, company policies, and regulatory requirements.
- Collaborate with project managers to review project budgets, billing, and financial performance.
- Provide administrative support to the accounting and finance team.
Qualifications
- Associate's or Bachelor's degree (preferred) in Accounting, Finance, Business Administration, or a related field.
- 1–3 years of accounting, bookkeeping, or finance experience.
- Experience with Unanet/Deltek Vision
- Knowledge of accounts payable, accounts receivable, payroll, and general accounting principles.
- Strong attention to detail and organizational skills.
- Excellent communication and problem-solving abilities.
- Ability to manage multiple tasks and meet deadlines in a fast-paced project environment.
Preferred Qualifications
- Experience working in an engineering, construction, architecture, or professional services firm.
- Familiarity with project-based accounting and job costing.
- Knowledge of ERP or accounting systems such as Unanet, Deltek, QuickBooks or similar platforms.
