We are seeking a detail-oriented and organized Accounting & Admin Assistant to support the financial and administrative operations of our mission-driven behavioral healthcare organization. Reporting to the Financial Controller, this role plays an important part in ensuring accurate financial records while providing professional administrative support to staff, clients, and visitors.
Schedule: Mon & Fri: 8am-4:30pm Tues-Thurs: 12pm-8:30pm
Duties and Responsibilities:
- Perform daily accounting operations and data entry
- Process monthly billing and manage collections (Accounts Receivable)
- Manage vendor invoices and payments (Accounts Payable)
- Reconcile bank and credit card accounts to ensure financial accuracy
- Assist in preparing monthly financial reports and journal entries
- Support month-end and year-end closing processes
- Assist with budget preparation and cash flow projections
- Review and verify participants’ insurance benefits and eligibility for prospective admissions; conduct financial discussions with families, clearly explaining coverage details, financial responsibilities and insurance authorization requirements.
- Manage all related financial documentation for new admissions and transitions.
- Collaborate with third-party insurance billing services to create, submit, and manage insurance claims and payments
- Provide new hires with an overview of the Finance Department during orientation
- Provide coverage of front desk duties (answering phones, greeting participants and visitors) during evening IOP sessions
- Provides coverage to Front Desk Coordinator for lunch breaks and PTO
- Perform other duties as assigned
- An Associate’s or BA/BS in Accounting or Business.
- 0-2 years’ experience in accounting.
- Experience in a role providing customer service.
- Experience with medical billing, behavioral health billing and/or insurance claims processing.
- Experience using business software and electronic medical record applications preferred.
- Proficiency in Microsoft Office suite with emphasis on Excel.
- Ability to present in a professional, friendly and enthusiastic manner.
- Strong organizational skills.
- Attention to detail and accuracy in presenting results.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Knowledge of state and federal rules and regulations governing confidentiality.
- Customer Service Skills: Ability to collaborate with a solution-focused attitude, being responsive and flexible.
- Successful Pre-employment Drug Screening with negative results.
