Position Summary
The Office Intern provides administrative and accounting support to the HOA management team. This role is designed to provide hands-on experience in office administration, financial processes, record management, and operational support within a homeowner association management environment.
Key Responsibilities
- Perform data entry and maintain accurate digital and physical records
- File, scan, and organize association documents and financial records
- Assist with invoice entry, coding, and accounts payable processing
- Support accounts receivable tracking and homeowner ledger updates
- Reconcile invoices, statements, and vendor records as assigned
- Assist with the preparation of bank deposits and financial documentation
- Help maintain vendor files, W-9s, insurance certificates, and payment records
- Prepare spreadsheets, reports, and financial summaries using Excel
- Support budget preparation and expense tracking activities
- Assist with audit preparation and document collection
- Maintain and update information in HOA management software systems
- Prepare meeting packets, financial binders, and administrative reports
- Coordinate internal administrative tasks and special projects
- Maintain confidentiality of association and financial information
- Help ensure office organization and operational efficiency
- Plus other work-related tasks needed
Qualifications
Qualifications
- High school graduate or currently enrolled in college or vocational program
- Strong organizational and analytical skills
- Basic proficiency in Microsoft Office, especially Excel
- Detail-oriented with strong accuracy in data entry and recordkeeping
- Ability to handle confidential financial information professionally
- Dependable and able to manage multiple tasks in a structured environment
- Interest in accounting, business administration, finance, or property management preferred
Preferred Skills
- Coursework or experience in accounting, bookkeeping, or office administration
- Familiarity with spreadsheets and basic accounting principles
- Experience with QuickBooks, Vantaca, CINC, or similar management/accounting software is a plus

Compensation
• Hourly pay: [$15/hour]
• Internship credit available if applicable
Pay and Benefits:
$14.00 to $16.00 hour , depending on education and experience.
