Accounting Admin Assistant Tower Water
Location: Somerset, NJ
Schedule: 8:30am to 5:00pm Hybrid – 2 Days On-Site 3 Days Remote (After 90 training)
Travel: Minimal / As Needed

We are seeking an Accounting Admin to support administrative, accounting, client service, and documentation functions across the business. This role is responsible for maintaining accurate records, supporting billing and vendor processes, assisting with client and insurance documentation, and working closely with the administration team to ensure timely, accurate, and professional service.
Requirements
Administrative and Client Documentation Support
· Review and proofread reports, documents, and client-facing materials before distribution.
· Create, update, and maintain accurate client information across company databases.
· Prepare emails, reports, letters, forms, standard operating procedures, and other business documents.
· Handle general administrative tasks, including filing, faxing, mailing, scanning, and organizing records.
· Respond to client insurance requests and support third-party insurance documentation needs.
Accounting, Billing, and Vendor Support
· Process and record daily deposits accurately and in a timely manner.
· Enter, maintain, and help manage vendor bills within Bill.com.
· Prepare invoicing and set up recurring transactions for renewal agreements.
· Assist with preparation and processing of one-time proposals.
· Respond to and assist with daily accounting-related inquiries from internal and external stakeholders.
Insurance, Records, and Process Coordination
· Manage third-party insurance documentation and related invoicing.
- Acquiring tax exempt and capital improvement certificates
· Maintain organized records for client, vendor, insurance, billing, and administrative documentation.
· Support accurate documentation and recordkeeping across administrative and accounting workflows.
· Help identify opportunities to improve accuracy, timeliness, and organization within recurring administrative processes.
· Ensure work is completed in alignment with company procedures and business operations.
Teamwork, Communication, and Operational Support
· Communicate effectively with the administration team and other departments to support daily business needs.
· Demonstrate a strong willingness to collaborate, ask questions, and provide timely updates.
· Support internal teams by helping resolve administrative, billing, documentation, and client service needs.
· Remain flexible as responsibilities evolve based on Tower Water’s business operations.
· Perform additional duties and responsibilities as needed to support company operations.
Qualifications
· Prior administrative, accounting, billing, bookkeeping, or office support experience preferred.
· Strong attention to detail with the ability to proofread documents and maintain accurate records.
· Comfortable working with databases, accounting systems, Microsoft Office applications, and technology platforms such as Bill.com.
· Excellent written and verbal communication skills with a professional client service mindset.
· Ability to manage multiple priorities, meet deadlines, and follow established procedures.
· After 90 Day Training period, hybrid schedule will be 8:30am to 5:00pm, 2 days on-site, 3 days remote.
· Reliable, organized, and able to work both independently and as part of a team.
· Willingness to learn, adapt, and support changing business needs.
What Success Looks Like
· Client records, reports, and administrative documents are accurate, complete, and professionally prepared.
· Deposits, vendor bills, invoices, recurring transactions, and proposals are processed accurately and on time.
· Insurance requests and third-party documentation are handled promptly and with appropriate follow-through.
· Accounting-related inquiries are addressed professionally, with timely communication and clear documentation.
· The administration team receives dependable support that reflects Tower Water’s commitment to responsiveness, reliability, and teamwork.
