Essential Functions (Responsibilities)
- Prepare and maintain financial statements and reports, summarizing museum financial activities.
- Manage the general ledger: record and track transactions to ensure accurate financial records.
- Analyze financial data to support budgeting, forecasting, and strategic decision-making.
- Oversee the purchasing process to ensure accurate financial tracking, cost efficiency, and compliance with company policies.
- Monitor grant and donation revenue, ensuring compliance with fund restrictions.
- Reconcile accounts payable and receivable, including timely vendor payments and receipts tracking.
- Assist with payroll coordination, ensuring accurate and timely disbursements
- Prepare journal entries, perform month-end and year-end close tasks
- Collaborate with University of Tulsa HR and finance teams for audits and compliance
- Ensure adherence to accounting policies and procedures for financial controls and data integrity
Required Qualifications
Knowledge, Skills, and Abilities:
- Proficient in financial reporting, general ledger, and data analysis
- Strong proficiency in accounting software (e.g., QuickBooks, Sage, Oracle/PeopleSoft) and MS Excel
- Familiarity with nonprofit fund accounting and compliance associated with grants and donations
- Exceptional attention to detail, analytical thinking, and problem-solving
- Effective communication skills and team collaboration within academic/nonprofit frameworks
Equivalent Education and Experience:
- Bachelor’s degree in accounting, finance, or related field
- 3+ years of accounting experience, preferably in nonprofit or museum settings
Preferred Qualifications
- Prior experience with fund accounting in arts, cultural institutions, or higher education
- CPA or actively pursuing certification
- Familiarity with IRS Form 990 reporting and nonprofit compliance
- Ability to engage with cross-functional teams, including Development, Operations, and University finance
Special Job Dimensions
- On-site role at Gilcrease Museum, under University of Tulsa employment
- Collaborates with finance, development, and museum operations teams on a regular basis
- Routine deadlines: monthly close, grant reporting, fiscal year-end processes
Physical Requirements
- Ability to remain in a stationary position (sitting or standing) for extended periods while working at a computer.
- Frequent use of hands and fingers for typing, data entry, and handling documents.
- Occasional lifting and carrying of files, boxes, or office supplies (typically up to 20 lbs).
- Visual acuity to review detailed financial data and documents.
- Ability to communicate clearly in person, by phone, and via email.
- Occasional movement within the office and museum environment for meetings and collaboration.
