General Summary/Objective:

The Accounts Payable Associate is responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the purchasing and payment of goods and services. 

Duties/Responsibilities: 

  1. Accurately reviews incoming invoices from vendors and reconciles discrepancies prior to entering in NetSuite.  Utilizing NetSuite, enters monthly invoices received from outside vendors.
  2. Accurately releases payment to vendors, including those to investigative sites and sponsor refunds, according to “payment due” dates.
  3. Onboard new vendors.
  4. Reach out to vendors to obtain monthly vendor statements.
  5. Provides administrative support to the Accounting Manager, Corporate Controller & Chief Financial Officer, including any assistance required for annual financial audit.
  6. Files all accounts payable related paperwork.
  7. Assists AP Supervisor, Accounting Manager, Corporate Controller, CFO or Department staff in other activities as needed.

Qualifications

Schedule:

Part-time: 14 hours per week. Flexible dates and hours.

Education required:    

Associate degree or higher

Experience Required: 

3 years’ accounts payable experience.

Qualifications:

Microsoft Office at the intermediate level or above. QuickBooks/NetSuite experience preferred.

Physical Demands and Environment:    

This is a largely sedentary role. Some filing is required involving the ability to lift files, open cabinets and bend or stand as necessary. The position requires the individual to see, talk and hear. The employee is frequently required to use hands, fingers, and reach with hands and arms. This position operates in an office environment using standard office equipment.

Travel: 

No travel is expected for this position.

Salary/Exempt Status: 

$20 - $27.50/Non-exempt
