Job Description

• We are seeking an experienced Procurement Operations Coordinator to support and optimize procurement operations for a leading global technology organization. The role focuses on managing end-to-end purchase requisitions, purchase orders, procurement intake queues, contract execution workflows, transaction reconciliations, and compliance activities.

• The candidate will collaborate with Finance, Accounts Payable, Legal, business stakeholders, and suppliers to ensure efficient procure-to-pay operations, adherence to procurement policies, and timely resolution of operational issues.

• The ideal candidate will have hands-on experience with procurement platforms and ERP systems, particularly Zip, Coupa, and NetSuite. The role also involves supporting system implementations, user acceptance testing (UAT), reporting, process automation, and the development of standard operating procedures to improve operational efficiency.

Responsibilities

• Manage the end-to-end purchase requisition lifecycle and procurement transactions using Zip and other procurement platforms.

• Review contracts and Statements of Work (SOWs) to ensure purchase requisitions and purchase orders are accurately configured.

• Process purchase order change requests and review open POs for appropriate closure.

• Enforce procurement policies, internal controls, approval workflows, and the No PO, No Pay policy.

• Manage procurement intake queues and requests received through Zendesk, Slack, Zip, and Coupa.

• Coordinate contract reviews, approvals, and signature workflows using Ironclad, ensuring executed agreements are properly attached to requisitions and securely stored.

• Perform transaction-level reconciliations and investigate discrepancies across purchase orders, contracts, procurement records, and invoices.

• Collaborate with Finance, Accounts Payable, Legal, business stakeholders, and suppliers to resolve procurement issues and prevent payment delays.

• Prepare recurring operational reports, monitor SLAs, track procurement cycle times, and identify process bottlenecks.

• Support procurement system implementations, enhancements, and UAT activities, including test-case preparation, defect documentation, and validation of fixes.

• Develop and maintain procurement playbooks, standard operating procedures (SOPs), and process guidelines.

• Identify opportunities for workflow automation, process standardization, and continuous improvement.

• Maintain audit readiness and ensure compliance with segregation-of-duties requirements.

Experience

• Prior professional experience in procurement operations, purchasing operations, procure-to-pay (P2P), or a related function.

• Hands-on experience with procurement platforms and ERP systems, particularly Zip, Coupa, and NetSuite.

• Experience managing purchase requisitions, purchase orders, contract workflows, transaction reconciliations, and procurement controls.

• Experience supporting audit readiness, policy compliance, internal controls, and procurement governance.

• Practical experience with procurement system implementations, UAT, workflow troubleshooting, and process improvement initiatives.

• Experience developing SOPs, process documentation, and operational playbooks.

• Ability to independently manage routine to moderately complex transactions in a fast-paced corporate environment.

Skillsets

• Procurement Systems: Zip, Coupa, and NetSuite; familiarity with Ramp and Ironclad is strongly preferred.

• Procurement Operations: Purchase requisitions, purchase order management, PO change orders, PO closures, and end-to-end P2P workflows.

• Contract Management: Contract and SOW review, contract approvals, execution workflows, and document management.

• Compliance and Controls: Procurement policy enforcement, No PO, No Pay controls, audit readiness, risk mitigation, and segregation of duties.

• Reconciliation and Analysis: Data validation, discrepancy investigation, root-cause analysis, and operational reporting.

• Systems Testing: UAT execution, test-case development, defect tracking, troubleshooting, and validation of system fixes.

• Process Improvement: SOP development, workflow optimization, automation, and cycle-time reduction.

Communication:

• Strong written and verbal communication, presentation skills, stakeholder management, and customer-service orientation.

Vendor Onboarding:

• Familiarity with W-9/W-8 forms and supplier master data workflows is an advantage.

Education

• Bachelor’s degree in Accounting, Finance, Business Administration, Economics, Supply Chain Management, or a related field.

• Relevant certifications or training in procurement, supply chain management, ERP systems, or procure-to-pay operations are an advantage.
